Who we are

This site is operated by Reed Jones Ventures, LLC, doing business as The AI Department. You can find us online at theaidepartment.com. When this policy says "we," "us," or "our," that's who we mean.

What information we collect

We try to collect as little as possible — only what we actually need to deliver what you signed up for. That generally includes:

  • Your name and email address, when you join our newsletter, grab a free resource, or sign up for a course.
  • Information you submit through forms — course signups, lead magnets, contact messages, surveys, or anything else you choose to send us.
  • Payment details when you purchase a course or product. These are entered into and processed directly by Stripe — we never see or store your full credit card number.
  • Basic technical information your browser shares automatically, like device type and general location, used to keep the site working and understand how it's used.

How we use your information

We use what you share with us to:

  • Send you the newsletter, course info, or resources you signed up for.
  • Process payments securely through Stripe.
  • Welcome you into and manage our community on Skool.
  • Communicate with you via MailerLite — including course updates, occasional announcements, and the things you opted in to receive.
  • Respond to your questions, feedback, and support requests.
  • Improve our courses, content, and the experience on this site.

We don't sell your information. We don't rent it out. We don't share it with random third parties for advertising.

If you live in the EU, UK, or another region with similar privacy laws, we want you to know exactly why we're allowed to process your information. We rely on the following lawful bases under the GDPR:

  • Consent — when you sign up for our newsletter, request a free resource, or opt in to non-essential cookies. You can withdraw consent at any time.
  • Performance of a contract — when you buy a course or join our community, we need certain information to actually deliver what you paid for.
  • Legitimate interests — to keep our site secure, prevent fraud, understand how our content is used, and run our small business. We only rely on this where your rights and freedoms don't override our interest.
  • Legal obligation — to keep records we're required to keep (for example, tax and financial records relating to course purchases).

Third-party services we use

To run our small business well, we rely on a few trusted tools. Each one receives only the information needed to do its specific job:

These providers have their own privacy policies and security practices. We pick tools we trust, but we encourage you to read theirs too. From time to time we may add or change processors (for example, an analytics tool or a customer support platform) — when we do, we'll update this list.

International data transfers

We're based in the United States, and several of the tools we use (Stripe, MailerLite, Skool, and our website host) also process data in the US. If you're contacting us from the EU, UK, or another country with data-export rules, your information will be transferred to and processed in the US.

Where required, we (and our processors) rely on appropriate safeguards for international transfers, including the European Commission's Standard Contractual Clauses (SCCs) and the UK's International Data Transfer Addendum. You can request a summary of the safeguards in place by emailing us.

Cookies & analytics

Like most websites, ours uses cookies and similar technologies. We try to keep this simple, so here's the breakdown:

  • Strictly necessary cookies — needed for the site to work (loading pages, remembering form inputs, keeping things secure). These are always on.
  • Analytics cookies — help us understand which pages people visit and what's working, so we can improve the experience. We may use tools like Google Analytics or a privacy-friendly equivalent.
  • Functional cookies — remember preferences (like which forms you've already submitted) so we don't pester you twice.

If you visit us from the EU, UK, or another region that requires it, you'll see a cookie banner the first time you arrive, and you can accept, reject, or customize non-essential cookies. You can also manage cookies through your browser at any time — the site will still work, just maybe a bit less gracefully.

How we protect your information

We take reasonable steps to keep your information safe. That includes serving the site over HTTPS (so data is encrypted in transit), choosing reputable processors with strong security practices, limiting access to your information to people who actually need it, and — as noted — never storing your credit card details on our own servers.

That said, no system on the internet is 100% secure. If we ever become aware of a data breach affecting your personal information, we'll notify you and the appropriate authorities as required by law.

Your rights

Wherever you live, you have meaningful rights over your personal information. We honor them.

If you're in the United States, you can ask us to:

  • Tell you what information we have about you.
  • Correct anything that's wrong.
  • Delete your information.
  • Stop emailing you (anytime, no questions asked).

If you're in the EU, UK, or another GDPR region, you also have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete information.
  • Erasure ("right to be forgotten") — request that we delete your data.
  • Data portability — receive your data in a portable format.
  • Restrict or object to certain types of processing, including direct marketing.
  • Withdraw consent at any time, where processing is based on consent.

Email opt-out: Every marketing email we send includes a one-click unsubscribe link, in line with the CAN-SPAM Act and similar laws. Click it once and you're out — we won't follow up to ask why.

California residents (CCPA / CPRA)

If you live in California, the California Consumer Privacy Act (as amended by the CPRA) gives you specific rights. You have the right to:

  • Know what personal information we've collected about you, where we got it, why we collected it, and who we've shared it with.
  • Delete personal information we've collected from you, subject to certain legal exceptions.
  • Correct inaccurate personal information we hold about you.
  • Opt out of the "sale" or "sharing" of your personal information for cross-context behavioral advertising.
  • Limit the use of any sensitive personal information we collect.
  • Non-discrimination — we won't penalize you for exercising any of these rights.

Do Not Sell or Share My Personal Information: We do not sell your personal information for money, and we do not share it for cross-context behavioral advertising as those terms are defined under California law. If that ever changes, we'll update this policy and provide a clear opt-out link.

To exercise any California right, email us at connect@theaidepartment.com. You may also designate an authorized agent to make a request on your behalf — we may ask for proof of authorization.

Other US state privacy rights

Residents of states with comprehensive privacy laws — including Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and others — have rights similar to those described above, such as:

  • The right to access and confirm what personal data we hold about you.
  • The right to correct inaccurate information.
  • The right to delete your personal data.
  • The right to opt out of targeted advertising, "sales" of personal data, and certain types of profiling.
  • The right to appeal a decision we make about your request.

To exercise any of these rights, email us at connect@theaidepartment.com and let us know which state you live in. We'll respond within the timeframe required by your state's law.

EU/UK right to lodge a complaint

If you're in the EEA, UK, or Switzerland and you believe we've handled your personal data improperly, we'd love the chance to make it right — please email us first. You also have the right to lodge a complaint with your local data protection authority.

Data retention

We keep your information only as long as we need it to provide what you signed up for, run our business, and meet our legal obligations. When we no longer need it, we delete it or anonymize it. If you ask us to delete your data sooner, we will — unless we're legally required to keep something (like transaction records for tax purposes).

Children's privacy

Our courses, content, and services are built for adults running their own businesses. They are not directed at children under 13, and we don't knowingly collect information from anyone under 13. If you believe a child has provided us with personal information, please email us and we'll delete it promptly.

Changes to this policy

As our business grows and the tools we use evolve, this policy may need to change. When it does, we'll update this page and revise the "last updated" date at the top. For meaningful changes, we may also let you know by email.
